Set up MailMyCard for HubSpot
Connect HubSpot once, and “MailMyCard: Send a card” becomes an action in your workflows. Each contact a workflow enrolls gets your saved card, written with a real pen and posted to their mailing address.

Connect HubSpot
The connection is made from your MailMyCard dashboard, under Integrations.
What the app does
It adds one action to HubSpot workflows: MailMyCard: Send a card. When a workflow runs the action for a contact, HubSpot sends us the name and mailing address you mapped, and we write your saved card with a pen, put it in an envelope and post it with tracking.
The app asks for no access to your contacts, companies or deals. It receives only the fields you map in a workflow, and it changes nothing in HubSpot: the action hands two values back to the workflow, the result and the MailMyCard order id.
Before you start
- A MailMyCard account with a card saved as a template and money in its wallet. Each card and its delivery are paid from the wallet when the workflow orders it, so a workflow cannot spend more than you have added.
- A HubSpot account that has workflows, which HubSpot includes in its Professional and Enterprise editions, and a user who may install apps: a Super Admin, or someone with App Marketplace access.
- Contacts with a mailing address, with the country held as a two-letter code. HubSpot has a property for that, Country/Region Code.
Install and connect
Installing the app and connecting your HubSpot account are one step, started from MailMyCard.
- Write the card. In your MailMyCard dashboard, write the card your contacts should get. On the review step, choose Save this card as a template. Put
[Name]where the contact's first name should go. - Open Integrations from the account menu.
- Pick HubSpot. Under Add an integration, press Connect on the HubSpot tile.
- Choose the template, then press Connect HubSpot.
- Approve on HubSpot. HubSpot asks which account to install MailMyCard in, then asks you to approve it. MailMyCard asks for no access to your CRM records.
- Check it is connected. You land back on Integrations, where HubSpot is listed under Your integrations as “HubSpot (connected)”.
One HubSpot account sends one saved card. To send a different card, connect again and choose the other template; the new connection replaces the old one.
Add the action to a workflow
- Create a contact-based workflow in HubSpot, or open one you already run. The action works on contacts, so a deal-based workflow does not offer it.
- Set what enrolls a contact: an associated deal reaching Closed won, a lifecycle stage becoming Customer, a property you tick by hand, or any other trigger HubSpot offers.
- Add the action. In the action panel, choose MailMyCard: Send a card.
- Map the fields to contact properties, as in the table below.
- Review the workflow and turn it on.

Map the country to Country/Region Code, not Country/Region. A name such as “United States” is not read as a country, and the card is refused.
What happens when the workflow runs
Every contact the workflow enrolls gets one card. The words are the ones saved in your template, the same for every contact, with [Name] replaced by the first name you mapped. No other HubSpot property goes into the message.
If HubSpot sends the same action run twice, it still makes one card. A contact enrolled again later is a new request and gets a new card.
To send one card by hand, enroll a single contact in the workflow from HubSpot. Each card then appears with your other orders in MailMyCard, and Integrations shows how many requests came in and how many cards went out.
If a card is not sent
The action tells the workflow the result was “refused”, and no card is made or paid for. The reason is shown beside HubSpot on your Integrations page. The usual ones:
- The contact has no complete mailing address: name, street, city, postal code and country.
- The country is not a two-letter code, or is one we cannot post to.
- The wallet does not hold enough for the card and its delivery.
- The HubSpot account is no longer connected to MailMyCard.
A refusal is not tried again by itself. Fix the cause, then enroll the contact again. If the action is missing from the action panel, check that the workflow is contact-based and that HubSpot shows as connected on Integrations. For anything else, contact us or write to hello@mailmycard.com.
Disconnect HubSpot from MailMyCard
- In MailMyCard, open Integrations.
- Under Your integrations, press Remove beside HubSpot, then Yes, remove.
Workflows that use the action stop sending cards at once: the action answers “refused” for every contact from then on. The app itself stays installed in HubSpot until you uninstall it there, and the action stays in your workflows until you take it out.
Uninstall the app from HubSpot
- Remove the “MailMyCard: Send a card” action from any workflow that uses it.
- In HubSpot, press the settings icon in the top bar, then open Integrations → Connected Apps.
- Press Actions on MailMyCard, then Uninstall, and confirm by typing “uninstall” when HubSpot asks.
- In MailMyCard, remove HubSpot under Your integrations as well. HubSpot does not tell us about an uninstall, so the connection is listed there until you remove it.
What happens to your data
Disconnecting or uninstalling changes nothing in HubSpot. Your contacts, deals and workflows are as they were, because the app never writes to them.
In MailMyCard, cards already ordered are still written and posted, and stay in your order history with the name and address they went to. No new cards are made. What we do with the details of the people you send cards to is in our privacy policy.
