A good promotion card says congratulations, names one thing the person did that earned it, and looks forward to the new role in a single line. Sign it with your first name. For a client, leave business out entirely. Below are 23 messages for your team, a colleague, your manager and your clients, and why a card lands better than a comment online.
What do you write in a congratulations on your promotion card?
Three short lines. Congratulate them by name and new title. Name one specific reason it was deserved: the account they saved, the team they held together, the way they trained others. Then wish them well in the new job. Avoid "well deserved" on its own; it only means something with the reason next to it.

Tone follows the relationship. A card to your own report can be warm and specific. A card to your boss should be short and gracious. A card to a client should be friendly and have no pitch in it at all.
Why send a card for a promotion?
Because milestones like promotions are recognized far less often than people expect, and the effect of recognizing them is large. In a Gallup and Workhuman study, only 23 per cent of employees strongly agreed their organization has a system to recognize work milestones such as promotions and work anniversaries (Gallup and Workhuman, 2022).
When employers did recognize life events and milestones, employees were three times as likely to strongly agree they feel connected to the culture, and more than 30 per cent more likely to say they plan to be at the organization in five years. Gallup's later tracking of nearly 3,500 employees found that well-recognized people were 45 per cent less likely to have left two years later (Gallup).
Peers matter as much as managers. A 2012 SHRM and Globoforce survey found that peer-to-peer recognition was nearly 36 per cent more likely to have a positive effect on financial results than recognition from managers alone (SHRM). A card from a colleague counts.
Should you send a card when a client gets promoted?
Yes. A promotion is one of the few times you can contact a client with nothing to sell. Send a short card to their office, congratulate them on the new title and stop there. Congratulations is one of the most common everyday card occasions, according to the Greeting Card Association, and 60 per cent of people say mail "means more to me" than an email (Greeting Card Association).
A comment on a job-change post is seen for a second, among fifty others. A card sits on the new desk for a month. Royal Mail MarketReach found that people value things they can touch 24 per cent more highly than things they only see (MarketReach).

What should a promotion card leave out?
Leave out anything that takes the shine off. A promotion card has one message, and it is theirs.
- "Finally." It hints they were overlooked.
- Pay, perks or the size of the new office. Nobody wants that on a card others will see.
- Jokes about forgetting the little people. They are rarely as funny on paper.
- A pitch to a client. "Now that you run procurement, let us talk" undoes the card.
- Advice. Unless they asked. Congratulate now, mentor later.
