The best thank-you note to a customer is four lines long: their name, the specific thing they bought, one human sentence, and your first name. "Thank you for supporting my small business" is a fine feeling and a weak opening line, because every parcel from every marketplace now says it. Below are thirty notes that start somewhere else, grouped by the moment you are writing for, and the formula so you can write your own in under a minute.
What should a small-business thank-you note say?
Four things, in this order:
- Their name. "Hi Priya," not "Dear customer,". If you only know a first name, use it.
- What they actually bought, or did. "the indigo scarf", "your third order", "trusting us with the kitchen". This is the line that proves a person wrote it.
- One sentence a template would not have. Where it was made, what to do with it, what it meant to you this week.
- Your first name. A business name is a sender. A first name is a person.
Add an invitation only if it is real: reply to this card, come to the Saturday market, ask for me by name. Skip discount codes; they turn a thank-you into a coupon.
Amit Kumar and Nicholas Epley's 2018 study in Psychological Science found that people who wrote gratitude letters underestimated how positively surprised the recipients would be, and overrated how awkward the note would seem (University of Chicago News). The customer is not judging your handwriting. They are pleased anyone wrote.

Should the note go in the parcel or in the post?
Both work, and they do different jobs. A card in the parcel is read at the moment of unboxing, when the customer is already pleased, and it turns a delivery into an occasion. A card that arrives separately a week or two later is read when the purchase has faded, and it brings you back to mind.

Mail that arrives on its own gets kept. Royal Mail MarketReach's Private Life of Mail research, based on a year of ethnographic observation, found that advertising mail stays in the home for an average of 17 days, and that 57 per cent of people said receiving mail made them feel more valued (MarketReach). Your thank-you card is not advertising, but it travels the same route to the fridge door.
Do handwritten thank-you cards actually bring customers back?
The direct-mail benchmarks say mail to people who already know you outperforms everything else. The Association of National Advertisers' 2025 response rate report puts the average direct-mail response at 4.4 per cent, with house-list mailings, meaning existing customers, between 5 and 9 per cent, against 2 to 4.4 per cent for prospect lists (ANA Response Rate Report). The same body's 2023 report put postcards at 5.7 per cent, the highest of any format.
Those are numbers for offers, not thank-yous, so treat them as a ceiling on attention rather than a promise. What they show is that people open and act on mail from a business they have bought from. A note with no offer in it is rarer still.

What not to write in a customer thank-you note
- "Valued customer." It means you did not look up the name.
- A discount code and nothing else. That is a coupon with manners.
- A review request in the first line. Ask for a review, if at all, in a later message.
- Your whole brand story. One sentence of origin is charming. A paragraph is a leaflet.
- Printed "handwriting". People can tell. If it is printed, print it plainly and sign it by hand.
- Anything you would not say to their face. The card is a conversation, not a campaign.
