A good apology letter to a customer does four things in four or five lines: it names exactly what went wrong, says "this was our fault", says what has been done to fix it, and is signed by a real person. Fix the problem first by phone or email. Then post the card. Seventeen short examples follow, for late deliveries, outages, billing mistakes and bad visits.
What should an apology letter to a customer say?
Say what happened, that it was your fault, and what you have done about it. In that order, in plain words. Use the customer's name and the real detail: "your order arrived nine days late", not "any inconvenience caused". Skip the excuses and the company history. End with a person's first name.
The research backs this order. Roy Lewicki and colleagues at Ohio State University tested apologies on 755 people across two experiments. The most important part was owning it: "Say it is your fault." The second was an offer to repair. Asking for forgiveness mattered least, and Lewicki said it is the one you can leave out (Ohio State University, via EurekAlert).
Apology notes for a late or failed delivery

Late parcels are common. Narvar's 2025 survey of 3,461 online shoppers in the United States found 74 per cent had a late delivery in the past year. What they wanted most when things went wrong was acknowledgement (46 per cent) and a clear explanation (46 per cent) (Narvar).

Who should sign a customer apology letter?
A named person, by first name, who had something to do with the problem or the fix. Not "the team" and not the company name. A 2026 study in the Journal of Retailing and Consumer Services ran three experiments on written apologies. A handwritten apology seemed more sincere and earned more forgiveness when an individual, such as the CEO, sent it. When it came from "the company", handwriting made no difference (ScienceDirect).
Match the name to the size of the failure: the person who runs dispatch for a late parcel, the founder or CEO for an outage that hit everyone. If the customer has already spoken to someone, that person should sign.
Apology notes for a billing mistake
Keep amounts and account details off the card. Anyone can read a postcard, and a sealed card can still be opened by the wrong person. Put the figures in the email.

Does an apology actually bring customers back?
It helps, but less than the old saying claims. Customers who get a good recovery do say they are more satisfied. They do not reliably buy more. A meta-analysis of the "service recovery paradox" by de Matos, Henrique and Rossi found a real effect on satisfaction, and no clear effect on repurchase or word of mouth (Journal of Service Research). Fixing a failure well is good. It does not beat never failing.
Words can beat money. Researchers at the University of Nottingham worked with a seller making about 10,000 sales a month on eBay in Germany. Customers who had left a poor rating were offered either an apology or a small payment to withdraw it. About 45 per cent withdrew after the apology. Only 23 per cent did for the cash (University of Nottingham, via EurekAlert).
Money still matters when the failure cost the customer something. In a field experiment with 1.5 million Uber riders who had a late trip, the apology that worked best came with a $5 coupon, and some apologies did worse than saying nothing (Halperin, Ho, List and Muir). So refund what you owe through the normal channel, and let the card carry the words.
What should an apology letter not promise?
Do not promise it will never happen again unless you are certain. The Uber study found that some apologies did worse than sending nothing, in particular repeated apologies and apologies that promised to do better. A promise you then break costs more than no promise. Say what you have already changed.
- "This will never happen again." Say "we have changed the courier for your area".
- "Any inconvenience this may have caused." It did cause it. Name it.
- "Unfortunately, due to unforeseen circumstances." That is an excuse wearing a suit.
- A discount code and nothing else. Refunds go back the way the money came. A code on an apology reads as a sales pitch.
- Blame. Not the courier, not the software, not the customer.

When should an apology card be posted?
After the fix, never instead of it. The first apology belongs on the phone or in an email, the same day. The card follows and should land once the replacement or refund has. Common questions
How long should a customer apology letter be?
Four or five lines. What happened, that it was your fault, what you have fixed, and a name. A long letter reads as a defence. If the customer needs a full account, such as an outage report, send that by email and keep the card short.
Should an apology be handwritten or typed?
Handwritten, if a named person signs it. In the study above, handwriting raised sincerity only when an individual was the sender. A typed letter on letterhead signed "Customer Care" gains nothing from a script font.
Is it too late to apologize weeks after the problem?
No, as long as the first apology was quick. The card is the second one. It arrives when the customer has stopped being angry and tells them somebody still remembers.
