A good restaurant thank-you note to a customer names the guest, remembers one thing about their visit, and is signed by someone they have met. "Thank you for dining with us" is what the receipt already said. Below are 24 notes for regulars, first visits, private events, birthdays and the night that went wrong, plus where to find an address and how to send them at scale.
What should a restaurant thank-you note say?
Four things: the guest's name, one detail from their table, one line only your place could write, and a first name to sign it. No coupon, no menu, no review request. In practice:
- Their name. "Hi Meena," not "Dear valued guest,". The booking already told you.
- One detail from the table. The dish they ordered twice, the anniversary, the dog tied up outside, the seat by the window.
- One line only your place could write. What the chef is cooking next month, where the beans come from, who asked after them.
- A first name to sign it. The server, the chef, the owner. A logo is not a person.
Leave out the discount code. A card with a voucher reads like a flyer. A card without one reads like a friend.
Why do notes to regulars matter so much?
Because a small group of guests carries most restaurants. Toast data from the first quarter of 2026 found that up to 50 per cent of a restaurant's order volume can come from just 7 per cent of its guests (Toast and Resy, The Regulars Report 2026). A thank-you card to those few people is the cheapest insurance you can buy.
The same report asked diners what makes them feel valued. Nearly half said being remembered by staff, more than double the number who chose points or rewards. Only 30 per cent said they consistently get that recognition. And 77 per cent said they tip more at places where they are regulars.
Points still count. The National Restaurant Association's 2025 State of the Restaurant Industry found that 41 per cent of tableservice diners say a rewards programme influences where they eat, and 70 per cent of operators with a loyalty programme say it boosted traffic (National Restaurant Association). A card does the part the app cannot: it proves someone remembered.
Where do you get a diner's postal address?
Most restaurants have more addresses than they think. They sit in catering invoices, private-dining contracts, gift-card orders, online shop orders for sauces or beans, and birthday-club sign-up forms. The easiest new source is to ask: a small card on the table that says "Want a birthday note from the kitchen? Leave your address here" fills up faster than you would expect.

Do handwritten thank-you cards work better than email?
For regulars, yes, because the card is the rare thing. Royal Mail MarketReach research found that people value things they can touch 24 per cent more highly than things they can only see (MarketReach, The Private Life of Mail). An email from a restaurant sits next to fifty others. A card sits on the fridge.
The person writing tends to underrate it, too. Amit Kumar and Nicholas Epley's 2018 study in Psychological Science found that people writing gratitude letters overestimated how awkward the note would feel and underestimated how pleased the recipient would be (Association for Psychological Science). Your regular will not judge the handwriting. They will be surprised anyone wrote.

What not to write in a restaurant thank-you card
- "Dear valued guest." It tells them you did not look.
- A coupon and nothing else. It turns thanks into a sales flyer.
- A review request. Ask for reviews somewhere else, another day.
- Your full menu. One dish they loved is enough.
- Something only the owner would sign. If the server made the night, let the server sign.
