A good work anniversary message names the number of years, one thing that is different because the person stayed, and a plain thank-you, signed by their manager. One year needs two lines. Twenty years needs a story. Below are 24 card messages for 1, 5, 10 and 20 years, from a manager and from a team, plus retirement notes and a way to schedule them.

What do you write in a work anniversary card?

Write the number, a memory and a thank-you. "Five years today. You joined when we had one van, and now you run six. Thank you." The memory is the part only you can write, and it should come from this person's time with you, not from a list. Then sign your first name. If a team is signing, ask each person for one line.

Skip the phrases that fit anyone: "valued member of the team", "your dedication and hard work". If a sentence would still be true with someone else's name on the card, cut it.

Does marking a work anniversary make a difference?

It can, if it is personal. Gallup and Workhuman followed nearly 3,500 employees from 2022 to 2024 and found that those who felt well recognised were 45 per cent less likely to have left two years later. An anniversary is one fixed date each year when recognition is expected. Missing it is noticed. So is a note that could have gone to anyone.

Most people do not feel recognised. In the same research, only 22 per cent of employees said they get the right amount of recognition, and 55 per cent either got none or got recognition that met none of Gallup's five tests of quality (Gallup). Workhuman sells recognition software and co-funded the study, so read it with that in mind. Gallup ran the survey.

Be honest about what a card cannot do. In 2025, Maja Adena, Steffen Huck and Levent Neyse tested thank-you postcards on past donors to an opera house. Handwritten cards drew a 19.3 per cent response and printed ones 18.7 per cent (Experimental Economics). Ink alone did nothing. If every employee gets the same sentence each year, a pen will not rescue it. The manager's one true line does the work.

Managers also hold back because they fear sounding soppy. Amit Kumar and Nicholas Epley found in four experiments that people who wrote letters of thanks overestimated how awkward the reader would feel and underestimated how pleased they would be (Psychological Science, 2018).

Which years matter most?

All of them get a card, but the first, fifth, tenth and twentieth deserve more. The first is when a new person decides whether to stay. After that, long service is rarer than it sounds, so each big number is a real event.

The US Bureau of Labor Statistics measures this. In January 2026 the median worker had been with their employer 4.1 years. For workers aged 25 to 34 it was 3.0 years, and for those aged 55 to 64 it was 9.6 years. About one in five workers, 20.6 per cent, had been in their job a year or less. Among workers aged 25 and over, 31.1 per cent of men and 29.0 per cent of women had ten years or more with the same employer (Bureau of Labor Statistics).

So a fifth anniversary already beats the median. A tenth puts someone in the longest-serving third. Say so on the card.

One-year messages

Dear Imogen, one year today. You arrived in the week the server died and you did not run. Thank you for staying, and for the spreadsheet that replaced three of mine. Karen

How do you schedule anniversary cards from a list of start dates?

Should the card come from the manager or the team?

The manager every year. Add the team at 5, 10 and 20 years and at retirement, one line per person.

Is it all right to send the card late?

A late card with a real memory beats a punctual one with none. Say "I missed the day, not the year" and send it.

Should a work anniversary card mention pay or a bonus?

No. If there is a long-service award, put it in a separate letter. The card is for thanks.
