patient retention for practices

patient retention strategies,
with privacy first.

Patients stay with a practice that is easy to reach, keeps to time, follows up and remembers them. Start with access and recall reminders. A sealed thank-you card with nothing clinical in it can add a personal touch, but check your privacy duties before sharing any patient list.

$5.15 a card, plus delivery.

We do not offer a HIPAA business associate agreement. In the US, the fact that someone is your patient can itself be protected health information. If HIPAA covers you, ask your compliance adviser before giving us any patient's name and address. Elsewhere, check your local rules.

How to improve patient retention

Most of it happens at the front desk.

  1. Make booking easy

Short waits for appointments, and more than one way to book.

  2. Respect their time

Run to schedule, and say so when you cannot.

  3. Follow up

Check in after a visit through your own secure systems.

  4. Run recalls

Remind people when they are due, and look into those who stop coming.

  5. Explain costs early

    No surprises on the bill.

  6. Ask why people leave

A short survey shows what to fix first.

If a card is right for your practice

  • Keep it general

Say welcome or thank you. Leave out treatment, reasons for visits and anything clinical.

  • Always sealed

Send it in an envelope, never as a bare card, and leave the practice type off the outside if you can.

  • Thank referrers carefully

Do not say who the friend is, or why they came.

You write
Dear [Name], thank you for choosing our practice. It was a pleasure to meet you.
The pen writes
Dear Priya, thank you for choosing our practice. It was a pleasure to meet you.

What the evidence says

We found no study showing that handwritten cards raise retention.

How to test it yourself

Split a list in two at random. Send cards to one half and nothing to the other, keeping everything else the same. After a few weeks, compare repeat orders, replies or gifts.
