A good subscription box thank-you note is four lines: the subscriber's first name, what they have done (third box, one year, their tenth order), one human sentence about it, and a person's first name. Send it at a moment they earned, not with every box. Do not add a coupon. Eighteen notes to copy follow, grouped by the five moments that matter.
When should a subscription brand send a thank-you note?
Send one at five moments: the third order, a VIP threshold, the subscription anniversary, after a delivery that failed, and after a cancellation. The third order matters most, because that is when most subscribers decide to stay or go. A card with the first box is covered in our guide to thank-you cards after purchase. This article is about what comes after.
The early months are where subscribers leave. McKinsey surveyed 5,093 people in the United States and found that nearly 40 per cent of ecommerce subscribers had cancelled. More than a third of those who sign up cancel in under three months, and over half within six (McKinsey). The survey is from 2018, so treat the exact figures as a guide.
So the third box is the one to mark. A subscriber who gets a card then has been thanked before the usual leaving point, not after it.

Why should a thank-you note never carry a coupon?
Because the coupon cancels the thanks. In a field experiment with 1,232 customers of an online beauty shop in South Korea, shoppers who got a handwritten thank-you spent about twice as much afterwards as those who got none: $52.07 against $25.97. A machine-typed note did nothing. The handwritten effect shrank or vanished when a coupon or free sample came with it (Science Says, summarizing Kim, Choi and Kim, 2022).
The likely reason is simple. A note on its own says "we are grateful". A note with a code says "we want another order". The customer reads the second message and forgets the first.
Two honest limits. This was one shop, in one country, with notes sent during one week. And handwriting is not magic in bulk. A 2025 field experiment with past donors found handwritten and printed thank-you postcards got almost the same response, 19.3 per cent against 18.7 per cent (Experimental Economics). A card works when it is about one person at one moment. Sent to everyone as a mailing, it is just mail.
Send the discount in an email next month if you like. Keep it off the card.
Notes for the subscription anniversary

Notes after a failed or late delivery
Most subscribers will meet a delivery problem sooner or later. Narvar's 2025 survey of 3,461 online shoppers in the United States found 74 per cent had a late delivery in the past year. When things went wrong, what shoppers wanted most was acknowledgement (46 per cent) and a clear explanation (46 per cent) (Narvar).
Fix the problem first, by email, the same day. The card follows later and should arrive after the replacement has. Our customer apology letter examples go deeper on what to say.

Notes after a cancellation
Some churn is nobody's choice. Recurly, a billing company, reports from its own customers' data that ecommerce subscriptions lose 4.25 per cent of subscribers in its benchmark, and that 1.38 points of that is involuntary: a card expired or a payment failed (Recurly). That is a vendor's figure from its own platform, so treat it as a guide. For those subscribers an email with a payment link is the right tool.
For the ones who chose to leave, a card with no ask is the rare thing. Do not try to win them back on it. Just say thank you and mean it.

How do you send subscriber thank-you notes without writing each one?

Common questions
Should the thank-you note go inside the box?
A note in the box is nice, and the subscriber reads it while unpacking. A card that arrives alone in the post is more of a surprise, because nothing was expected that day. Do both if you can. If you can only do one, post the card at the third order.
Who should sign a subscription thank-you note?
A person, with a first name and a real job: the founder, the roaster, the person who packs. People tend to underestimate how much a thank-you means to the one who receives it, as Amit Kumar and Nicholas Epley found in 2018 (Psychological Science). "The team" is not a person.
How many subscribers should get a card?
Not all of them at once. Pick the ones who reach a moment: this week's third orders, this month's anniversaries. For a small brand that may be ten cards a week. A card sent to the whole list on the same day is a mailing, and the research above suggests handwriting adds little there.
Is it worth writing to someone who cancelled?
Yes, if you ask for nothing. Some people who cancel come back later, and they will remember how they were treated on the way out. A short thank-you costs little. A win-back offer on the same card would undo it.
