A good contractor thank-you letter is not a letter. It is a four-line card: the customer's name, the job you did at their address, one detail only your crew would know, and the first name of the person they dealt with. Send it after the job, again before the first season the work is tested, after a review and after a referral. Here are 22 you can copy.

Why send a thank-you card after a home service job?

Because the next job at that house is cheaper to win than any job at a new one, and a card is how they remember your name when the boiler fails. Homeowners take on around ten projects a year. The pro who is still on the fridge gets the call, the review and the neighbour.

Angi's 2025 State of Home Spending report found US homeowners spent an average of $12,472 on home projects in 2025 and completed an average of ten projects, up from nine. Maintenance spending rose to $2,041 per household and emergency repairs to $1,143 (Angi, via GlobeNewswire). Every one of those projects is a decision about whom to call.

Keeping a customer beats finding one. Harvard Business Review, citing Frederick Reichheld of Bain & Company, puts the cost of acquiring a new customer at five to 25 times the cost of keeping an existing one (HBR).

What should a thank-you for choosing us message say?

"Thank you for choosing us" is a fine start and a weak whole message. Follow it with their name, the job, the street or the room, one detail from the day, and what to watch for next. Sign with the first name of the tech or the owner. Leave out coupons and the list of other services you offer.

A useful last line is care advice: when to change the filter, how long the grout needs, what a new roof sounds like in the first storm. It shows you are still thinking about the house, and it gives them a reason to keep the card.

People worry the note will seem awkward. Research by Amit Kumar and Nicholas Epley found the opposite: people writing thank-you letters underestimated how positive recipients would feel and overestimated how awkward it would be (University of Chicago News).

Thank-you notes when the job is complete

Thank-you notes at the first season check

A second card before the first season the work is tested is the one competitors never send. For HVAC it is the first winter. For roofers it is the first storm season. For landscapers it is spring.

Dear Mrs Patel, your roof has its first winter coming. Thank you again for choosing us. If you hear anything odd in the first big storm, call me directly. Mike

Thank-you notes for a review

BrightLocal's 2026 Local Consumer Review Survey found 85 per cent of consumers say positive reviews make them more likely to use a business, and 74 per cent look for reviews from the last three months (BrightLocal). A fresh review is worth a card.

Should you ask for a review in the thank-you card?

Ask by text or email with a direct link, a day or two after the job, and keep the card for thanks. Most people who are asked do leave a review: BrightLocal found 83 per cent of those asked went on to leave one. A card that asks for a review reads as a form. A card that thanks them for one gets kept.

How do you send thank-you cards after every job?

Be realistic about post. Cards take 3 to 7 days within India, 7 to 14 days to the UK and Germany, and 8 to 15 days to the US, Canada and Australia. What not to write in a contractor thank-you note

  • "Valued customer." You were in their house. You know their name.
  • A coupon for 10 per cent off. It turns thanks into a flyer.
  • Your whole service list. They know what you do. You just did it.
  • A review request in the same card. Ask separately.
  • Only the company name as the signature. Sign as the person who knocked on the door.
