A thank-you note to wedding clients should name the couple, recall one moment from their day that only you saw, and be signed by the person they worked with. Send one when they book, one after the wedding, and one on their first anniversary. Below are 22 notes for photographers, planners, florists and venues, grouped by those moments, plus a way to send the anniversary card automatically.
Why should wedding vendors send thank-you cards to couples?
Because couples are told to thank their vendors, and few vendors thank them back. Couples hire around 13 vendors. The one who writes back by hand is the one they remember, recommend and review. A card is small, it is personal, and it tends to stay on the fridge long after the invoice is filed.
The Knot's 2026 Real Weddings Study, based on 10,474 US couples married in 2025, found couples hired an average of 13 vendors, that 88 per cent hired a photographer, and that the average wedding cost $34,000 (The Knot Worldwide). That is a lot of money and a lot of names to keep straight. The same study found 52 per cent of couples cite responsiveness as key to building trust.
The year before, The Knot's vendor report found engagements lasted an average of 15 months, with serious planning starting 12 months out, and that almost half of couples considered multiple vendors before booking (WeddingPro). A year is a long time between signing and the day. A card at booking fills the gap.
When should a wedding vendor send a thank-you card?
Four times, each for a different reason. At booking, to say they chose well. Within two weeks of the wedding, before the gallery or the final invoice. On the first anniversary, when every other vendor has gone quiet. And whenever a couple sends you a referral, as soon as you hear about it.
What should a thank-you note to wedding clients say?
Use their first names, both of them. Name one detail you saw that the couple may have missed: the grandmother who danced, the rain that stopped at 4pm, the groom who straightened the boutonnière three times. Thank them for one specific thing. Sign with your first name, not the studio name.

Keep it to four or five lines. Leave out package upgrades, album upsells and discount codes. If you want a review, ask separately (more on that below). Research by Amit Kumar and Nicholas Epley found people who wrote thank-you letters underestimated how positive and surprised the recipients would feel (University of Chicago News). You do not need to be a writer. You need to have been there.
Thank-you notes when the booking is confirmed
Dear Aisha and Tom, thank you for choosing us for June. The barn at Holloway Farm is one of my favourite places to shoot at golden hour. I am already looking forward to it. Sam
Hi Meera and Arjun, the date is in the diary and the deposit is in. Thank you for trusting a small studio with three days of celebrations. I will be at every one. Nikhil
Dear Clara and Ben, thank you for booking the orangery. You are our first couple to ask whether the peacocks can be in the photos. They can. Isla, Events Manager
Hi Priya and Josh, thank you for letting me plan your wedding. Fourteen months is plenty of time, and I will still email you at month thirteen. Hannah
Dear Lena and Marco, thank you for booking us for the flowers. The peonies you pinned will be in season. I checked twice. Ruth
Thank-you notes after the wedding
Dear Aisha and Tom, thank you for the best light of the summer. When your dad read his speech from the back of a seed packet, the whole barn went quiet. Gallery in three weeks. Sam
Hi Meera and Arjun, thank you for letting us be part of the mehndi, the pheras and the sangeet. Your nani out-danced the DJ. The photos prove it. Nikhil
Dear Clara and Ben, thank you for a lovely day at the orangery. The peacock behaved, mostly. We would have you back any time. Isla and the team
Hi Priya and Josh, the rain stopped at 3:52pm and you walked out at 4. I have never been so relieved. Thank you for staying calm when I was not. Hannah
Dear Lena and Marco, thank you for letting me do your flowers. Your mum asked to take the centrepieces home, which is the best review a florist gets. Ruth
Hi Sophie and Dan, thank you for feeding the band. Nobody ever does. We played the extra half hour because of the curry. Luke
Thank-you cards on the first anniversary
This is the card nobody else sends. It lands a year after the day, when the gallery is a memory and the couple is thinking about what to do for dinner. It is also when they are most likely to mention you to an engaged friend.
Dear Aisha and Tom, happy first anniversary. I still use your seed-packet speech photo when people ask what I do. Thank you for a year I keep coming back to. Sam
Hi Meera and Arjun, one year. I hope the sangeet playlist still gets played in the kitchen. Thank you for letting me in on all three days. Nikhil
Dear Clara and Ben, happy anniversary from everyone at the orangery. The peacocks send their regards. Come back for tea, on us. Isla
Hi Priya and Josh, a year ago it was raining and then it was not. Happy anniversary. Thank you for being the calmest couple of that summer. Hannah
Dear Lena and Marco, happy first anniversary. The peonies are back in season this week, so I thought of you. Ruth
Thank-you notes for a referral
Dear Aisha, thank you for sending Grace and Luke my way. They mentioned your seed-packet speech within five minutes. You are the best advert I have. Sam
Hi Meera, thank you for recommending us to your cousin. We are booked for their December wedding, and I promised to bring the same second shooter. Nikhil
Dear Clara and Ben, thank you for telling the Morrisons about us. They booked the orangery last week and asked about the peacocks straight away. Isla
Hi Josh, thank you for passing my name to your sister. I will look after her as well as she thinks I looked after you. Hannah
Dear Lena, thank you for the referral to Sarah. She wants peonies too. You have started a trend. Ruth
Hi Sophie, thank you for sending your friends to see us at the showcase. They booked us for May. We will learn a new song for them. Luke
Should you ask for a review in a thank-you card?
Not in the same card. The thank-you should stand on its own, or it reads as the price of the review. Send the review link by email or message a few days later, when the gallery goes out. Asking works: most people who are asked do leave one.
BrightLocal's 2026 Local Consumer Review Survey found 83 per cent of people who were asked to leave a review went on to leave one, and that 74 per cent of consumers look for reviews written in the last three months (BrightLocal). So ask every couple, and ask soon after the wedding. Then thank them by hand for the review they left, which is a good excuse for a second card.
How do you send anniversary cards to every couple?
Set it once and forget it. With MailMyCard's Schedules, you add the couple's wedding date and a card goes out every year on that date. The posting day is worked out so the card arrives in time. A real pen writes each card on cardstock, and it is posted from Bangalore the day it is ordered.
The rest of the set-up is simple:
- One card is $14.99 with delivery included. For a studio sending to every couple, volumes start at $8.99 a card for a pilot of 50 and go down to $3.49 a card at 5,000 or more. See the For business page.
- A Google Sheet can be watched, so each new row sends a card. Add a row when a couple books and the booking card goes out.
- CRMs: one-click connections for HubSpot, Pipedrive, Zoho CRM, Attio, monday.com, Keap and Close, so a won deal can send a card. Stripe can send one when a deposit is paid.
- Zapier, Make and n8n connect most booking tools. There is also an API and an MCP server, documented in the developer docs.
Plan for the post. Cards take 3 to 7 days within India, 7 to 14 days to the UK and Germany, and 8 to 15 days to the US, Canada and Australia. For the after-wedding card, that is fine: it arrives while they are still unpacking. For anniversaries, Schedules does the arithmetic. If you are writing a card to a couple who has just moved, our guide to writing a postcard covers what fits on one.
What not to write in a thank-you note to a couple
- "Congratulations to the happy couple." Every card on the gift table says it.
- Only one name. Two people booked you. Use both names.
- An upsell. Album offers belong in an email, not the card.
- The studio name as the signature. Sign as the person they met.
- A generic line about "your special day". Name one real moment instead.
