A good loan officer thank-you note is three or four lines: the client's name, one detail from their file that only you would know, a plain thank-you, and your first name. Send one at five moments: pre-approval, clear to close, closing day, the loan's first anniversary, and every referral. Leave out rates, payments and promises. Below are twenty notes you can copy, grouped by moment.
What should a loan officer write in a thank-you note?
Write about the person, not the loan. Use their first name, mention something real (the street, the dog, the job move, the kid who picked the bedroom), say thank you, and sign with your first name. One sentence of help is fine: "call me if a letter from the county confuses you." A rate, a payment or a sales pitch turns the card into an advert.
The client will not judge your wording. Amit Kumar and Nicholas Epley's 2018 study in Psychological Science found that people writing gratitude letters underestimated how positive the recipient would feel and overestimated how awkward it would be (Psychological Science). You are more worried about the note than they will be.

Notes for the one-year loan anniversary
A year on, the client has forgotten the paperwork and remembers the house. A short card on the anniversary of closing says you remember them too. No rate talk, no "it might be time to refinance".

Thank-you notes for a referral
Say thank you for the introduction and nothing else. Under RESPA, no one may give or accept "any fee, kickback or other thing of value" in return for referring settlement business on a federally related mortgage loan (CFPB, Regulation X, 1024.14). A card that says thanks is gratitude. A gift card tied to the referral, especially to an agent or other settlement provider, is a question for your compliance team first.

Which lines should a mortgage thank-you note leave out?
Leave out anything that could read as an advert for credit. Regulation Z says that if an advertisement states a down payment, the number or period of payments, a payment amount or a finance charge, it must also carry fuller disclosures, including the annual percentage rate (CFPB, Regulation Z, 1026.24). A card is not the place for that.
- Rates and payments. "Your low 5.9%" or "only $1,840 a month" belongs in the disclosures, not a card.
- Promises. "I can always get you a better deal" is a claim you cannot keep.
- Refinance nudges. On an anniversary note they read as a sales call.
- Pressure. "Send me three names" is a quota, not a thank-you.
- Loan details. A postcard is read by everyone who handles it. Keep the loan amount and lender off it.
Your company's compliance rules come first. If they ask to see card wording, send them this list and your drafts.
Why send a card after the loan has closed?
Because the next loan may be years away and the client will be asked to shop around. Staying in touch is how they remember your name when it matters. Fannie Mae's National Housing Survey found 36 per cent of 2021 homebuyers got only one mortgage quote, a share that has barely moved since 2014 (Fannie Mae).
The other two thirds compare, and they are right to. Freddie Mac's research found that one extra rate quote saves a borrower an average of $1,500 over the life of the loan (Freddie Mac, April 2018 Insight). You will not win every comparison. You can make sure you are in it.
The gap between loans is long. The National Association of Realtors' 2025 profile found sellers had owned their home for a median of 11 years before selling, an all-time high (NAR). Refinances leak too: ICE's Mortgage Monitor found servicers kept 28 per cent of refinancing borrowers in the third quarter of 2025, a three-and-a-half-year high (ICE). Most went somewhere else.
Care during the loan counts. In J.D. Power's 2025 mortgage origination study of 10,067 borrowers, customers whose lender gave them top scores for useful guidance were 2.3 times more likely to say they "definitely will" choose the same lender for future loans (Finopotamus, reporting J.D. Power). A card will not fix a bad closing. It does make a good one easier to remember.

When should a loan officer send each note?
Send the pre-approval note the day the letter goes out, and the clear-to-close note the same day as the call. Post the closing note on closing day so it lands in the first week in the house. Send the anniversary card to arrive on the date, and a referral note within a few days of the introduction. Five notes over a year is attentive, not pushy.
