A good small business thank-you message to a customer is two or three sentences about one thing that just happened: a first order, a referral, a review, a long wait. Say what they did, say what it meant to you, and sign with your first name. Below are 33 short messages to copy for ten occasions, and the one detail to change in each.

Every message here is under 40 words, so it works as a text, an email, a note on the packing slip or a card in the mail. Copy one, then swap in the detail named under "Change this".

What should a small business thank-you message to a customer say?

Three things: what the customer did, what it meant to you, and what comes next. "You came back for a second bag. That made our week. This one was roasted on Monday." Put their name at the top and your first name at the bottom. Then stop. A thank-you that goes on to sell something is an ad with good manners.

The same three sentences work for every occasion. Only the facts in them change.

Short is enough. In a field experiment with 1,232 customers of a South Korean online beauty shop, customers who got a copy of a handwritten thank-you note later spent 100.5 per cent more than customers who got no note. A typed note did no better than no note (Science Says, summarizing Kim, Choi and Kim in the Journal of Interactive Marketing).

Two details matter. The effect showed up with loyal customers, not with the rest, and adding a free gift or a discount weakened it (the paper's abstract). It was one shop in one country, so treat it as a hint, not a law: thank people, and leave the coupon out.

Thank-you messages for a first order

Say you noticed, and give one tip only the seller would know.

Hi Tessa, your first order went out today: two beeswax candles. Burn the first one for two hours so it melts evenly. Thank you for finding us. Omar, Tallow and Wick

Thank-you messages for a repeat order

Count the orders, and say the number.

Hi Darnell, order number two. The first bottle of hot sauce clearly did not last. Thank you for coming back. This batch's date is on the cap. Imani

Dear Nora, this is the third time your name has come up at the packing bench, and people here now say it out loud. Thank you. Felix, Clean Slate Refills

Hi Luis, thank you for reordering the dog treats. Please tell Biscuit the chicken ones were baked on Tuesday, mostly with him in mind. Greta

Change this: which order it is, and what they bought last time. In the Korean study, the note worked on loyal customers, so this is the message that earns its keep.

Thank-you messages for a large order

Say the number, and say what care you took.

Dear Ms Delgado, forty aprons for the new cafe. That is the biggest order we have sewn this year. Thank you. I checked every pocket myself. Hamid, Selvedge Workwear

Hi Paige, thank you for the big order of seeds for the school garden. I packed them by class, so you can hand one bundle to each room. Wes

Dear Arjun, thank you for trusting us with gifts for your whole team. All sixty boxes left on Thursday. My cell number is on the invoice if one goes astray. Carmen

Change this: the count, and what the order was for. If the buyer is a company, see our thank-you note to a client after closing a deal.

Thank-you messages for a referral

When a customer sends a friend, thank the customer, not only the friend. Do it the same week.

Hi Dot, Shira came in on Saturday and said you sent her. She left with the blue teapot. Thank you for telling people about us. Malik, Kettle Yard

Dear June, three of your neighbors have now booked a gutter clean, and each one said your name. Thank you. Your house is first on my list this fall. Rory

Hi Pilar, thank you for recommending us to your sister. She ordered the same granola you do. A good word from you is worth more than any ad we could buy. Esme

Change this: the first name of the person they sent, and only if that person told you who sent them.

That last message is not flattery. In Nielsen's 2021 Trust in Advertising Study, a survey of more than 40,000 people around the world, 88 per cent said they trust recommendations from people they know more than any other channel (Nielsen).

Referred customers are worth more, too. Researchers who tracked about 10,000 customers of a German bank for almost three years found that a referred customer was worth at least 16 per cent more than a similar customer who came another way (Schmitt, Skiera and Van den Bulte). They were also about 18 per cent more likely to stay (Knowledge at Wharton). A bank is not a bakery, but the direction is clear.

Thank-you messages for a review

Reply to the review in public, then thank the person in private. The private note is the part nobody expects.

Hi Abel, I read your review out loud to the whole kitchen this morning. "Best tamales north of the river" is going on the wall. Thank you for writing it. Lucia

Change this: quote one phrase from their review back to them.

Customers expect to hear back. In BrightLocal's 2026 survey of 1,002 US adults, 89 per cent said they expect business owners to respond to reviews, and 81 per cent expect a reply within a week (BrightLocal).

Thank-you messages for a customer anniversary

One year since a first order is a date only you know. That is what makes it land.

Hi Ned, one year ago today you bought your first bag of our coffee. Fourteen bags later, you are still here. Thank you for a year of mornings. Farah

Dear Mrs Okafor, it is five years this month since you first brought your car to us. Same car, same owner, new timing belt. Thank you for sticking with a small garage. Reggie

Change this: the date and the count. Look up their first order and say what it was.

In December, everyone thanks "all our customers". Thank one. Recall something from their year, not yours.

Thank-you messages after a problem you fixed

First fix it. Then thank the customer for telling you, and say what you changed.

Hi Selma, thank you for telling us the lamp came with the wrong shade, and for being so decent about it. The right one arrived on Tuesday. I checked it myself. Hugo

Dear Mr Reyes, thank you for your patience while we reset the fence post. It should have been right the first time. It is now, and that check is on the crew's list. Dana

Change this: name what went wrong. "Any inconvenience" names nothing, so the customer hears nothing.

Words can do more than money here. Researchers at the University of Nottingham worked with a firm that made around 10,000 sales a month on eBay. Customers who had left neutral or negative feedback were offered an apology or a few euros to withdraw it. Some 45 per cent withdrew it after the apology, and only 23 per cent for the cash (University of Nottingham, via EurekAlert). Our customer apology letter examples cover the apology itself.

Thank-you messages for a pre-order or a long wait

Say how long they waited, and what the time went into.

Hi Jonas, thank you for pre-ordering the planner back in January. Eleven weeks is a long time to wait for paper. It shipped today, in the first box off the press. Leila

Dear Ms Park, your table is finished. Thank you for waiting four months while the oak dried properly. Rushed, it would have cracked within a year. Amos, Burl and Board

Change this: the number of weeks, and the reason for them.

Waiting makes shoppers nervous. In Narvar's 2025 survey of 3,461 US online shoppers, two-thirds said they feel a surge of anxiety after clicking "buy", and 38 per cent said frequent tracking updates reduce it (Narvar). So send a two-line update in the middle of the wait. It is a thank-you as well.

Thank-you messages for local pickup

They came to you, so you met them. Use what you saw.

Hi Marlon, thank you for driving over on Saturday. It was good to put a face to the name on eleven invoices. Say hello to the dog in the back seat. Petra

Dear Gwen, thank you for collecting the bookshelf yourself, and for bringing a truck that was the right size, which almost nobody does. Ike, Second Shelf

How do you make a copied message not read like a template?

Change four things before you send it: their name, the exact thing they bought or did, one true detail that only you know, and your own first name. Then read it out loud. If any line would fit any customer of any shop, swap that line. That is the whole difference between a message and a mail merge.

People notice the difference. In BrightLocal's survey, generic or templated replies to reviews put off 50 per cent of consumers (BrightLocal). That figure is about public replies, but a private thank-you is read the same way. For the last line, see how to sign off a thank you card.

Should you send the thank-you by text, email or card?

Match the channel to the size of the moment. A text or a line on the packing slip suits a repeat order or a pickup. A review needs a public reply, then a private note. Save a card in the mail for the big ones: a first order, a large order, a referral, an anniversary, or a problem you fixed.

Why a card for the big ones? People like personal mail. In a 2015 Gallup poll of 1,010 US adults, 41 per cent said they look forward to checking their mailbox each day, and over 90 per cent said they have a positive reaction to personal letters and cards (Gallup). Inboxes have not become quieter since.

Can you send a thank-you to every customer automatically?

Yes, for the order thank-you. If you sell through Shopify, WooCommerce or Stripe, MailMyCard connects to the store once. After that, every paid order sends a card to the customer's shipping address, written with a real pen. Nobody on your team copies an address. There is one limit to know about. A connected store sends the same words on every card. Only the name changes: write [Name] in the message, and each card is written with that customer's first name. Nothing else about the order goes in. So the automatic card has to fit everyone. These three do, with "Dear [Name]," on the line above:
