A handwritten note in sales works when it is short, specific and asks for nothing. Write it after a real moment, a first meeting, a demo, a signed deal, a renewal, and mention one thing only that conversation could have produced. Sign with your first name. Below are 24 notes you can copy, grouped by deal stage, plus the evidence and a way to send them without a pen.

Do handwritten notes actually work in sales?

Yes, as a way to be remembered and to make a request feel personal, not as a closing trick. The best evidence is about favours: a handwritten sticky note on a survey packet roughly doubled responses in one study. People also underrate how much a thank-you lands. Neither proves a note will close a deal. Both say it gets read.

The sticky-note study is Randy Garner's, published in the Journal of Consumer Psychology in 2005. Packets with a handwritten Post-it request came back 76 per cent of the time, against 36 per cent with no note (Behavioural Insights Team summary). The note turned a form into a favour asked by a person.

On the thank-you side, Amit Kumar and Nicholas Epley ran experiments in which people wrote letters of appreciation. The writers underestimated how surprised and how positive the recipients would feel, and overestimated how awkward it would be (University of Chicago News). Sales people have the same worry, and the same mistake.

There is also a time argument. Salesforce's research with 7,775 sales professionals found reps spend just 28 per cent of their time selling. The same work found 73 per cent of customers expect companies to understand their unique needs (Salesforce). A note that names one of those needs is proof you listened, and it takes two minutes.

What should a handwritten note to a prospect say?

Four lines: their first name, one detail from your conversation, one sentence that helps them or thanks them, and your first name. No pitch, no calendar link, no "circling back". If the note could be sent to any other prospect, rewrite the middle line until it could not.

Good details are small and true. The name of their dog that barked on the call. The warehouse in Pune they are opening in spring. The phrase their CFO used. The worry they raised that you did not fully answer. A note that returns to that worry, briefly, is worth more than a brochure.

Things to leave out: your logo on the front, a discount, a QR code, a P.S. about booking the next call. The note has one job, which is to show that a person paid attention.

Retention is where these notes pay back most. Frederick Reichheld of Bain & Company, writing in Harvard Business Review, notes that acquiring a new customer costs five to 25 times more than keeping one, and that raising retention by 5 per cent raises profits by 25 to 95 per cent (HBR).

How do you send handwritten sales notes at scale?

Be honest with yourself about timing. Cards take days, not hours: 3 to 7 days within India, 7 to 14 to the UK and Germany, and 8 to 15 to the US, Canada and Australia. That makes post a poor fit for "thanks for today" and a good fit for week two, when the email thread has gone quiet and a card on the desk is the only thing that is not a notification. When should you not send a handwritten note?

Skip it when you have nothing specific to say, when the note would arrive after the moment has passed, or when it is really a pitch in disguise. A generic card is worse than none, because it shows the process instead of the person. And never send one to a home address you were not given.
